Conditions for loans
Conditions for loans of Bavarian State Libraries for exhibitions
  1. Loans can only be granted for exhibitions with a cultural and academic purpose, but on principle not for exhibitions with a duration of more than three months, for displays of large quantities of material or for touring exhibitions.
  2. The institution legally responsible for the exhibition must guarantee that the exhibition will be properly organized. The names of officials in charge of the organization of the exhibition must be provided.

  3. Loans must be requested by written application at least 3 months before the start of an exhibition in order to allow the library enough time for preparatory measures (e.g. examination of the condition of the object; carrying out any necessary conservatory, preservatory or restoration work; conservation microfilming or production of slides or ektachromes; consultation of auction catalogues or antiquarian price lists for estimation of insurance value; manufacture of boxes for transport). It must include a itemized list of the objects applied for and information about duration and location of the exhibition as well as the scope and composition of the material to be displayed.

  4. The premises used for the exhibition must be protected adequately against fire, water, theft and burglary. Library materials can only be displayed in locked showcases with laminated security glass. In order to ensure proper conservation and protection of the items on loan, an environmental climate must be created which is suitable for books (relative humidity of c. 50 %) and damage by exposure to light must be avoided (no direct daylight, lighting level not exceeding 50 lux, rooms darkened outside viewing hours).

  5. Items on loan can only be used for the purpose applied for. No use by third parties is permitted. No interference with the physical condition of an item or restoration work is permitted. The setting up and dismantling of the exhibition must be carried out by persons who are experienced in the handling of books according to current standards of conservation. The library's explicit permission must be sought for any photographic work, including filming and featuring on television.

  6. All costs arising for packaging, transport and custom clearance of the items on loan must be borne by the borrower.

  7. The lending library will take out insurance for the items on loan with the agency Aon Artscope Kunstversicherungsmakler GmbH Mühlheim an der Ruhr. Insurance is taken against all risks and from the moment they leave the library until their return. The premium will be invoiced by the insurance agency directly to the borrower and will have to be paid directly by the borrower to the agency. For government organizations of the Free State of Bavaria, § 33 of the Allgemeine Dienstordnung applies with regard to insurance.

    The borrower declares his acceptance of the insurance values as determined by the lending library and commits himself to make compensation for damages up to those values, including compensation in excess of the obligations of the insurance agency.

  8. A written contract for loans will be drawn up and sent by the lending library to the borrower.
